Use AI to Build an Employee Handbook This Weekend

Most small businesses don't have an employee handbook. Not because they don't need one — because writing one feels like a project that belongs on next year's to-do list.

But every time you hire someone, you explain the same things. What time they're expected. How time off works. What you expect when things go wrong. How you like things done.

That's your handbook. It just lives in your head, which means it gets explained differently every time — and disappears entirely when you're not around.

An employee handbook doesn't require a lawyer or a three-ring binder. It's the written-down version of how you run things. And AI can help you build it this weekend.

Start with the outline

You don't need to know every section before you start. Ask AI to give you a structure, then fill in only what applies to your business.

"Create an outline for a simple employee handbook for a small [type of business] with [number] employees. We don't need legal boilerplate — just the practical stuff: expectations, time off, communication, how we handle problems. Keep it approachable, not corporate."

You'll get a list of sections. Delete the ones that don't apply. Add anything specific to your business.

Fill in the sections that matter most

Work through one section at a time. This is faster than it sounds.

Time off:

"Write a simple time-off policy for a small business with [number] employees. We offer [how many days / flexible PTO / whatever you actually do]. Include how requests should be made and how much notice we need. Keep it to one short paragraph."

Conduct and expectations:

"Write a short section on workplace expectations for a small business. Cover punctuality, communication, attitude toward customers, and how we handle mistakes. Tone should be direct but not harsh — like a manager talking to someone on day one."

How we handle problems:

"Write a simple policy for handling performance issues or conflicts at a small business. Two or three steps: informal conversation first, then what happens if things don't improve. Keep it short and fair."

Keep going section by section. This is a one-time project that pays off every time you hire.

Onboarding documents

A handbook tells people the rules. Onboarding documents tell them how to do the job.

"Write a first-week onboarding checklist for a new [role] at a small [type of business]. Include practical things they need to set up, people they should meet, things they should know by the end of day one, and anything specific to the job."

"Write a 'welcome to the team' message I can send to a new employee the day before they start. Warm, brief, tells them what to expect on day one. Two short paragraphs."

Standard operating procedures (SOPs)

If your business can only run exactly the way you do it, you're stuck. SOPs are how you get out of that trap.

An SOP is just a written version of a process — specific enough that someone else could follow it. AI is good at helping you build these.

"Help me write a standard operating procedure for [a specific task — opening the store, handling a customer complaint, processing an order, whatever is relevant]. I'll describe how it works, and you turn it into a clear, step-by-step document someone else could follow. Here's how we do it: [describe it in plain language]."

Do this for the five things you find yourself re-explaining most often. That's your operating manual.

One thing to remember

AI gives you drafts, not finished documents. Read everything it produces. Add your actual policies. Remove anything that doesn't fit. Have a lawyer glance at anything that feels legally significant in your industry.

The goal isn't a perfect document. It's a document that exists — one that answers questions, sets expectations, and means you're not starting from scratch every time you hire.
